Supply Chain and Export Coordinator

The Supply Chain and Export Coordinator is responsible for the daily operational tasks regarding UK sourced shipments to all of our client’s customers.

Role Details – Key Responsibilities and Accountabilities:

Supply Chain/ Export Operation

  • Control the product set-up in the Supply Chain systems and oversee that 3rd party providers have the necessary information
  • Co-ordinate with Suppliers and 3PL partners to ensure all orders are placed within the relevant timescales
  • Work closely with country teams to ensure correct products are being ordered and all registration and labeling is completed prior to ordering
  • Communicate with suppliers regarding any changes in their product packaging as well as product ingredients and barcodes and update all countries
  • Provide KPIs to all departments relevant to Supply Chain and prepare the monthly international newsletter
  • Keep the category portal updated for all countries to ensure they have access to the latest ranges and product details
  • Communicate with suppliers and 3PLs on the requirements in term of documentation for the import/ export process
  • Ensure 3PLs have all shipment documents, ensuring they are complete according to the customs as well as local municipality requirements
  • Process all shortages and claims between Customers and Suppliers while working closely with finance to ensure all invoices are accurately processed
  • Schedule ordering for regular and seasonal orders, with Merchandising, 3PLs and Suppliers
  • Manage Order submission and shipment consolidation
  • Ensure MOQ, shelf life and timescales are met for all orders, while optimising shipments
  • Control and compare orders volume and value, with the forecast on hand, and share it with commercial team to take action
  • Control SL per order per country, and secure the reason for what is not delivered and take action accordingly

  • % Delivery on-time to country
  • Optimise landed costs to all countries
  • Average days for the clearance process
  • Compliance with legal and procedural requirements
  • Timeliness and accuracy of developed reports

Personal Characteristics and Required Background:

Functional / Technical Competencies

Experience in Stock Management or Shipment optimisation software

Minimum Qualifications/education

  • University Degree in relevant field or vocational equivalent

Minimum experience

  • 2-5 years in a similar role
  • Must have Fresh Food/ Fresh Produce experience

Skills

  • Organized
  • Detail oriented and time management skills
  • Import/export clearance and international transport/documents/regulations
  • Stock and Order Management
